microsoft is introducing a switch during the meeting to Microsoft Teams which allows licensed hosts and presenters to turn Meeting AI on or off during live meetings. This feature, as described in Microsoft Message Center notice MC1319216, covers co-pilot, facilitator, and summary capabilities.
The launch will begin in early July 2026 for the specific launch audience and will continue until the end of July 2026 for general availability worldwide. The update takes into account existing tenant policies and compliance controls. If Meeting AI is disabled by policy, the option will not be visible.
What the new AI lever for meetings does and how it relates to transcription
A new Meeting AI option will appear in the Teams meeting toolbar for licensed hosts and presenters. When disabled during a meeting:
- Responses from the co-pilot, facilitator or notes will no longer be generated.
- Previously generated artifacts remain available and are governed by retention policies.
- If AI was being used without transcription, speech-to-text data stops and Recap is not generated
An AI status indicator will show all participants whether the meeting’s AI is active.
The toggle is designed to give organizers real-time control over when the AI is active. Microsoft says the goal is to allow licensed organizers and presenters to capture information when discussions are valuable and disable AI during sensitive topics.
Meeting AI and transcription are linked when used together. Enabling Meeting AI automatically activates transcription and creates a summary. Starting the transcription also activates Meeting AI and generates a summary.
For meetings that need to avoid AI, both transcription and meeting AI should be disabled. Users looking for transcription without AI features should review whether the current setup meets their needs.
What does not change in the teams and when the alternation is implemented
The toggle does not impact meeting options set before meetings or the behavior of recording, transcription, and sensitivity labels. It also does not affect retention and compliance policies or licensing requirements for Copilot and Meeting AI.
Existing tenant policies will continue to determine whether Meeting AI is available in an organization. Microsoft has shared the rollout schedule for this feature.
The planned launch is planned from early July 2026 to mid-July 2026, with general availability worldwide expected from mid-July 2026 to late July 2026. These dates were originally set for June, but were delayed by approximately a month.
What administrators and users should do and where the option is available
Microsoft notes that no action is required for the deployment itself, but recommends some steps to help administrators prepare. These include updating internal training and documentation to show where the meeting AI toggle appears and who can use it, such as licensed hosts and presenters.
They also suggest informing end users that starting transcription automatically enables AI for meetings and summaries, and that meetings that require the absence of AI should not use transcription. Support teams should be ready to help users with questions about controlling Meeting AI during meetings and understanding transcription behavior.
End users should look for the Meeting AI toggle in the Teams meetings toolbar during their meetings and note that the toggle appears only when the tenant’s policy allows Meeting AI. Turning off AI does not delete any artifacts created earlier in the meeting. The AI status indicator, visible to all participants, helps ensure compliance and transparency.
Participants can see if AI is active during a call, which is important for meetings involving confidential discussions, legal proceedings, human resources conversations, or client meetings where the transcript and AI processes may need to be disclosed.
Organizations facing regulatory requirements related to meeting recording and AI processing should update their protocols accordingly. Some jurisdictions require explicit consent from all participants before the AI processes the expression.
The AI for Meetings toggle option will be gradually rolled out to Teams users through July 2026. This feature appears in Microsoft 365 roadmap ID 558286. If users don’t see the toggle in their meeting toolbar, they should check if their organization’s tenant policy allows AI for Meetings, confirm that they have the necessary licenses for the Copilot or AI for Meetings features, and ensure that the rollout has reached their region and organization.
Microsoft has not announced any further changes to Meeting AI beyond the change. Users can stay informed about future updates by following Microsoft’s Teams announcements and the Microsoft 365 roadmap, where potential new controls or additional AI features may be introduced.
