when i I started using NAS for the first time devices, my first step whenever I created a new folder on my NAS would be to convert it to a network share. I would share my media folder and documents have their own part. Backups, downloads, photos, and anything else I thought I might need later ended up mounted somewhere on Linux, macOS, Windows, or all of the above. I felt well organized until I realized that I kept a small collection of permanent actions just so I could occasionally recover a PDF or move a file between devices.
Mounted shares add friction to quick file access
A browser usually handles small jobs more cleanly.
Ridden actions work well when Use them frequentlybut they can be irritating when I only need one file. I open the share, wait for it to reconnect, respond to an authentication prompt that I may or may not have expected, and then look through folders that made perfect sense when I created them six months earlier. None of that is a big failure. It is very complicated to download a single document.
I noticed this especially on devices that are not part of my normal routine. My Mac Studio already has shares set up, so opening one doesn’t seem like a lot of work. On a phone, tablet, or computer that I rarely use, mounting the NAS means setting up another connection, saving another password, and hoping the operating system handles it the way I expect it to. Opening the NAS in a browser and downloading the file is usually faster than setting up access that you may not use again for weeks, or ever.
That was the part I had overlooked. I continued to treat browser access as a last resort, something I would use only when the “right” network share wasn’t available. In reality, the browser is usually the cleanest and most efficient tool for small jobs because it leaves nothing behind. I log in, find the file, download it, and move on without adding another sidebar entry or a mapped drive that will eventually fail to come back online at the worst possible moment.
Direct file links make sharing a lot less awkward
Sharing a file shouldn’t expose an entire folder
The file sharing habit becomes harder to justify when someone else needs to retrieve the file. I don’t want to explain how to connect to my network, create a permanent user account, or send someone the credentials for a folder they only need to see once. I also don’t love copying a file to another cloud service simply because that service has a convenient Share button. A direct link from the NAS is usually closer than you really wanted in the first place.
I still have network shares, but now each one has a job instead of existing because I created it once and never reconsidered it.
It also allows me to be more specific about access. Instead of giving someone access to an entire folder, I can share the specific file they requested and revoke access later. When the NAS supports expiration dates or password protection, I can purposely make the link temporary instead of just hoping to remember to clear it. That’s a much more limited permission than creating an account and trusting the recipient to go no further than the file they wanted to share.
Once I started using links this way, my NAS stopped looking like storage that only my own computers could understand. It became useful for delivering a large file, moving something between devices, or sharing a document without first routing it through another company’s servers. The person receiving the link doesn’t need to know what NAS I have, how the folders are organized, or what protocol is involved. They click, download the file and that’s it.
Some workloads still need persistent file system-level access every day
There are many jobs where downloading a browser is the wrong answer. Applications that need to continuously scan, edit, index, or access files work best when the NAS appears as part of the normal file system. Video editors, backup software, photo managers, development tools, and multimedia applications are not designed to manually download one file at a time. They expect storage to remain available while they work.
Mounted shares are also much better when I’m dealing with entire folders rather than isolated files. Moving a project directory, renaming a batch of point files, or reorganizing a media library is easier in a desktop file manager than in most NAS web interfaces. I’ve used browser tools that technically support bulk operations, but “technically supported” and “nice to use” are not always the same thing. The familiar drag-and-drop, rename, and desktop search tools still win out on heavier file management tasks.
There is also a point where avoiding saddles creates more work than it eliminates. Downloading a file before editing it and uploading it afterwards creates duplicate copies and creates uncertainty about which version is the current one. I also have to set up secure remote access to the browser, especially when the NAS can be accessed from outside the home. Certificates, permissions, and account security are still important, so a web portal isn’t automatically the easy or secure choice just because it opens in a browser.
Choosing access by task keeps the NAS manageable
The best connection method depends on what I’m doing.
Now understand this: I am not getting rid of mounted stocks. I’m simply being more selective about which ones deserve a place in my network topology. The folders I use as work storage on my Mac still benefit from a always-on connection because I open them frequently and apps need direct access. Those supports reduce friction instead of creating it, which is the distinction I didn’t make before.
Mounted shares still make sense for folders you use constantly or applications that need direct access to the file system. The goal is not to delete them, but to avoid creating permanent mounts for files that you only open occasionally.
For everything else, I can use a lighter approach. When I need a file, I use the browser. When someone else needs a single file, I create a link instead of creating a gateway to the folder that contains it. When an app needs persistent access, I either mount the share or give the app its own connection and leave it alone.
This has also reduced the small and annoying maintenance jobs that I used to accept as normal. I don’t have to map every share on every device, re-enter credentials after an OS update, or stare at the file manager while trying to communicate with a NAS that’s offline. I still have network shares, but now each one has a job instead of existing because I created it once and never reconsidered it. That makes the setup easier to troubleshoot because there are fewer mysterious connections floating around.
A NAS works best when access remains flexible
I used to think that a well-integrated NAS had all the important folders mounted everywhere. Actually, that mostly gave me a long list of network locations and more places for credentials or reconnections to go wrong. Browser access, direct downloads, temporary links, app-specific connections, and regular file sharing solve slightly different problems. Allowing them to coexist has made the NAS easier to use because I’m no longer forcing all tasks through the same door.
Mounted shares still do the job they are good at, especially when files must remain available to applications or move in large groups. They simply don’t need to handle every download, every shared document, or every device I use. Once I stopped counting mapped drives as proof that my NAS was useful, I started using the NAS more frequently. The files remained centralized, but accessing them eventually became less complicated.
